What we collect

Your email address, optional favourite collection, sign-up time and your consent to receive a launch notification. This form does not collect photographs, shipping addresses or payment details.

Why we use it

To let you know when Vielart opens for orders and understand interest in our collection. Joining is free and is not a purchase or reservation. We will not use this consent for an ongoing marketing newsletter.

Where it is stored

Entries are stored in our Supabase PostgreSQL database in Japan, with access restricted to the Vielart backend and authorized administrator. The API runs on Heroku in Europe. Temporary abuse counters store a keyed hash of the connection address, not a raw IP, separately from your entry and are cleared after two hours when requests are processed. Hosting providers may also process technical request logs.

Photographs and production partners

The public website is currently prelaunch: the launch-list form does not accept photographs or orders. The following explains our intended personalised-artwork service when ordering opens.

When you upload a photograph for a personalised artwork order, we share that photograph and relevant artwork files with production partners involved in creating and fulfilling your artwork. This may include partners who process the photograph, prepare designs, enhance the selected artwork or produce the finished item. Your source photograph may be shared, not only the finished artwork.

Depending on the provider assigned to an order, production processing may take place in the UAE, EU, United States, Canada, Australia or other countries. These are possible processing locations, not a statement that every order is shared with every country. The actual providers and applicable international-transfer arrangements must be confirmed before the photo-order service opens.

If a photograph includes other people, you must have permission to provide it for this purpose; for children, permission must come from an authorised parent or guardian.

Planned photograph and artwork retention

For the future photo-order service, our policy is to retain uploaded source photographs for 30 days from upload and then delete them. This period also needs to cover working copies and source-photo derivatives held for production. This retention workflow, including partner copies and backups, must be in place before public uploads open.

Generated artwork is treated separately: we plan to retain generated designs and finished artwork on an ongoing basis, with no scheduled automatic deletion, for order history and future access or fulfilment needs. Generated artwork can still contain recognisable features of the people in the photograph; deleting the source photo does not delete that artwork. You may request deletion or raise an objection by contacting us. We will assess such requests and any legal retention obligations under applicable law. Retention does not itself constitute permission to publish your photograph or artwork for advertising.

Contact hello@vielart.com with questions about photograph processing, access or deletion.

Optional website analytics

If you allow analytics, we use Google Analytics 4 to measure page visits, artwork interactions and successful launch-list submissions. Google processes technical information such as browser, device and network information. Analytics cookies help distinguish visits. We do not send your email address, photographs or form contents to Google Analytics. Advertising personalisation and Google signals are disabled in our website configuration.

Analytics is off until you choose “Allow analytics”. You can change your choice using “Analytics preferences” in the website footer. Declining analytics does not affect joining the launch list. Google may process analytics data outside your country. Google’s privacy policy.
